The Administrative Assistant is responsible for supporting the Chief Operations Officer (COO). The assistant will support the COO and team in areas such as completion of special projects and reports, calendar management and scheduling, email and phone management/correspondence, and other duties as needed.
DUTIES AND RESPONSIBILITIES – ESSENTIAL FUNCTIONS:
Serves as primary contact for COO.
Assures the timely, professional and appropriate management of all inquiries that come to the COO.
Oversees COO schedules, handles routes phone calls and correspondence as needed, and maintains files.
Works in Excel documents, compiling data from multiple source documents and proficient in linking spreadsheets to update appropriately.
Produces Finance Committee minutes under the guidance of the COO, and distributes them once approved.
Interacts with both internal and external constituents on a regular basis providing a high level of professionalism and confidentiality.
Facilitate process of reviewing contracts and gathering Certificates of Insurance when requested.
Demonstrates willingness to find data, track data and manage data when asked.
Provides project management support and may coordinate special projects, including but not limited to meetings.
Provides additional support of collaborative projects, especially those generated by COO’s direct reports.
